Registrar Coordinator
Overview:
The Registrar Coordinator works closely with the Registrar in several key functions of the College.
These functions include, creating and updating curricula for the College's degree programs within the College's student information system (Colleague), serving as the functional lead in utilization of the scheduling software package (R25 Live), creating and updating course files, creating and maintaining course sections, collecting and verifying grades for all courses taught within the College.
Essential Duties: Curriculum Responsible for building new curricula into the student information system (Colleague).
Process changes to curricula upon approval by the College via the Academic Policies and Curriculum Committee (APCC).
Attend regularly scheduled meetings with the Academic Policies and Curriculum Committee (APCC).
Work with program chairs and other faculty or staff to research and correct problems related to programs and degree audits.
Collaborate with the Workforce Development Center (WDC) in the creation of academic courses offered through the center.
Execute course import from outside course inventory system (Course Leaf) into Colleague.
Yearly reconciliation of fee schedule for courses (eBook, supplemental, lab).
Maintain current documentation for processes and procedures regarding curriculum management for the College.
Scheduling Instructional Space Responsible for completing the academic scheduling of classrooms within the scheduling software (R25 Live) as well as Colleague.
Assist and train academic divisions with various processes and procedures for scheduling courses.
Manage Colleague data feeds into and out of the scheduling software package.
Work with Department of Facilities to address classroom problems including major construction, environmental failures, technology related needs and approved special requests.
Manually populate course section details that are exceptions to established College terms (flexibly scheduled) including; academic deadline dates, daily section and grade rosters.
Create and implement communication plans regarding classroom scheduling management.
Stakeholders include; Registrar, Deans, Associate Deans, Directors, Chairpersons, and division schedulers.
Maintain current documentation for processes and procedures regarding classroom scheduling for the College.
Grading Process grades for all course sections each academic semester.
Create and implement communication plans with faculty and staff with regards to deadlines and missing grades, and to assist in their understanding of grading policies and procedures.
Maintain tables of changing grade schemes for courses.
Maintain current documentation for processes and procedures regarding grading for the College.
Commencement Coordinate the rental and distribution of regalia for faculty, staff, Board of Trustee members, president as well as special speakers and invited guests.
Assist the Registrar on special assignments as assigned.
Other Responsibilities and Duties Support front-line operations by: logging into the Registrar phone queue and answering phone calls, and assisting customers at the front counter as needed.
Assist the Registrar on special assignments as assigned.
Minimum Qualifications: Associate's Degree required.
At least three (3) years of professional experience working in an office environment where there is detailed computer work.
Excellent technology proficiency in Microsoft Office Suite, databases, enrollment management systems, scheduling software.
Preferred Qualifications: Bachelor's Degree.
Experience working in higher education and knowledge of student information systems.
Experience working with R25 Live scheduling software and (Colleague).
Preferred Competencies: Good organizational skills; ability to multi-task and not lose focus.
Excellent customer service skills; diplomacy and sensitivity to work effectively with diverse internal and external stakeholders.
An enthusiasm for technological applications and process improvement.
Sensitivity to confidential data and information.
Ability to interact collaboratively with individuals.
